Xero for dentists

Xero is where your numbers live all year — not a shoebox you hand over in April. As a Xero Gold Partner we run associates and practices on it with a setup built specifically for dentistry.

Why Xero

One platform, set up the dental way

Software doesn't make an accountant — but the right platform, configured properly, changes what your accountant can do for you. Every client runs on Xero with a dental-specific setup: a chart of accounts that mirrors how dental money actually moves, superannuation tracked cleanly, and the categories that power our quarterly benchmarking mapped from day one.

  • Live bank feeds — transactions flow in daily and are matched, not typed up months later
  • Receipts from your phone — photograph it, bin it; capture is included with Xero
  • Numbers we both see — when you ring us, we're looking at the same live picture
  • MTD handled — HMRC-recognised, quarterly updates filed by us from your records

What it does for you

Built around how dentists actually earn

For associates

Your monthly pay statements captured with lab deductions and superannuation in their own accounts, expenses photographed as they happen, and a live tax position all year — so the monthly set-aside figure is fact, not guesswork. Quarterly MTD updates come straight off the same records, filed by us.

The associate service

For practice owners

Per-surgery and per-site tracking, so profit per chair is a report rather than a mystery. Staff, lab and materials percentages mapped to the benchmark categories we review with you quarterly. Payroll integrated, plan income reconciled, and dashboards that show the practice the way you think about it.

What our Xero setup includes

Already on Xero? We'll review your setup free — most practices we inherit are using a generic chart of accounts that hides the ratios that matter. Re-mapping it is a one-off job that pays for itself in the first quarterly review.
Xero questions

What dentists ask about Xero

Is Xero good for dental practices?

Yes — with the right setup. Out of the box Xero is excellent general accounting software; configured with a dental chart of accounts, per-surgery tracking and plan income handled properly, it becomes a practice management number system: staff, lab and materials percentages on tap, and quarterly benchmarks built straight from your live books.

Can Xero handle my associate pay statements and superannuation?

Yes. We set your Xero up so monthly practice pay statements are captured and superannuation deductions are recorded in their own account — which is exactly what makes the annual reconciliation against your actual pensionable earnings possible, and keeps your live tax position accurate through the year.

Is Xero recognised for Making Tax Digital?

Yes — Xero is HMRC-recognised for MTD, and it's the platform we file quarterly updates from for our associate clients. Digital records, bank feeds and receipt capture mean each quarterly deadline is a confirmation, not a scramble.

Can you move me to Xero from Sage, QuickBooks or spreadsheets?

Yes — migration is part of our onboarding and we handle it for you: opening balances, historical comparatives, bank feeds, payroll and the dental chart of accounts. Most moves complete within a few weeks without disrupting your filing deadlines.

What does Xero cost?

Xero is a monthly subscription paid to Xero, with the plan depending on what you need (payroll, multi-currency and so on). As a Gold Partner we recommend the right plan for your situation and set it up so you're not paying for modules you'll never use.
